Clinical Work Station (CWS)
CWS combines fast front desk patient billing with sophisticated handling
of accounts in order to ensure that your whole practice runs more efficiently,
saving you time and money.
Some key features of the CWS system:
Patient Registration
CWS allows easy and intuitive registration of patients and their details,
and even with many thousands of patients online the sophisticated searching
and sorting routines that CWS runs allows efficient recall and alterations
of patients details.
The user can also store details of firms, to facilitate the billing
of a patient to a particular firm’s account (for example with worker’s
compensation).
Front Desk Billing
The CWS program provides fast and flexible front desk billing, and is capable
of switching fee scales to facilitate the handling of private, bulk bill
or veterans affairs patients with ease. The respective accounts are automatically
billed, and a Medicare voucher or memorandum of fees automatically prints
out.
Medicare Claims
CWS incorporates powerful yet easy to use functions for handling government
claims. Supported are automatic bundling of Medicare vouchers into a claim,
and automatic allocation of Medicare cheques to those claims. In the event
that the amount claimed is not equal to the amount received CWS also allows
the setting of exceptions before automatically allocating the rest of the
cheque.
Surveillances - Patient Recalls
CWS includes modules for setting up standard recall lists for patients.
This allows the Doctor to follow up a patient for procedures where return
visits are required (as for some immunisations), or for regular routine
procedures (such as pap smears). The system allows batch printing of all
patients which need to be recalled.
End of Month Statements
CWS incorporates various end of month procedures, such as a debt control
report and batch account statements. These tools facilitate easy maintenance
of your accounts and give you flexibility when chasing patients or firms
with overdue accounts.
Networking
CWS is available as either a single user system or as a multiple workstation
setup. You can build your system up from single user to multi-user in a
modular fashion according to your budget and the growing needs of your
practice.
Shared network printers can of course also be configured for use with
CWS.
Power Failure Protection
One of the most important features of CWS is its safety. Practice accounts
are often large and complex, and it is essential that this data be stored
and handled in the most secure manner possible. CWS uses a multi-level,
independent database structure to access records. This system incorporates
multiple redundancies and automatic rollback protection for your data,
resulting in a very robust database. Features like these are generally
only found on large mainframes.
For example, if there is a power failure or some other sort of interruption
while the program is writing to the disk, it is very unlikely that data
will be corrupted. This system also allows multiple workstations to access
the same data over a network without any sharing conflicts occurring. In
short, only a physical failure of the disk can corrupt your data.
Interoperability
CWS is capable of interfacing with many external programs. An optional
dynamic link (CWSLink) allows data to be transferred to and utilised by
many popular Windows packages, including (but not limited to) Microsoft
Word, Access and Excel (see the section on CWSLink for more information).
CWS also supports the automatic exporting of patients to the two most
popular scriptwriting packages - MIMS Script and Medical Director. New
or modified patients have their details automatically transferred to the
scriptwriting package’s patient database. These packages need not be on
the same machine as CWS, but do need to be on the same network.
Ongoing Technical Support
The Systemedica team is available to provide ongoing support of the CWS
program. Contracts are available for reasonable rates which include regular
upgrades to the program as well as unlimited phone support Monday to Friday,
9.00 to 5.00.

of CWS data with Windows programs such as Word for Windows. In this
way, writing letters or reports about or to patients becomes simple as
the patients details are retrieved from the CWS patient database (see the
section on the CWSLink).

Transaction protection with rollback on power failure or system fault.
This feature is rarely found on micro computer software and where available
on mini or mainframe computers is very costly. It guarantees that data
will not be harmed by power failure.
